Install the extension from the Chrome Web Store and click its icon in your toolbar. Choose the template that matches how you write: a compact one if you mostly send short replies, a fuller one if your emails introduce you to people who do not know you yet.

Fill in your details

Type your name and job title, then add whichever contact details you want people to have — company, phone, website, and links to your social profiles. Skip anything you would rather not publish at the bottom of every message; blank fields do not show up.

Copy it into your email client

Copy the finished signature and paste it into the signature field of your email platform. In Gmail that lives in the settings screen under the signature heading; Outlook and Yahoo have an equivalent box in their own settings. Send yourself a test email and you are done.

A good signature is short. These are the parts that earn their space — add what applies to you and leave the rest out.

Full name

The name you actually go by in work conversations, spelled the way you want it written back to you. This is the anchor of the whole block, so it gets the most visual weight.

Job title and company

One line that explains your role and where you sit. Freelancers often use their discipline plus "freelance" or a studio name; employees usually use the title on their contract.

Phone number

Include a number if you genuinely want calls. Add the country code for international contacts — it saves them from guessing and makes the number tappable on mobile.

Website or portfolio
